TSFS Meeting 9 December at Panera 1210 Margaret Hogan, Mark Drexler, Sam Hogan, Jo Hogan, Josh Kronengold, Steve Aines, Lisa chimed in Hotel giving us $500 discount to make up for cold function space. That seems reasonable. Next meeting Sunday 6 January 2pm at Panera. How was the convention? Cold, yes. 303 people. A bit more than last year. Note on grid for where con suite is and make room number part of title in program book. Emphasize guests of honor on program listings and grid. Open Source online thingy for programming Kanopus. Josh familiar with tool. Need someone willing to do marketing. Josh has candidate -- Sonia Bleakley. Sam has an offer from Mike of Concardia as well. Mike looks like a good fit for this. Need people in general to man fan tables and spread flyers. Mike good at planning new strategies and online stuff. Table volunteers lined up for Balticon, Capclave, and maybe Farpoint. Flyers at libraries. Guests of Honor to be able to publicize panels they are on to draw people. Other guests as well. Marketing on the side. Maybe get past GsoH to speak of Chessiecon. Opening Con Suite earlier completely up to Tom and his ability to be ready to open. Also staffing. Concerns about person who kept con suite open overnight representing the convention poorly. We need a better solution. Someone on convention staff. Top staffing priorities: Registration if Dave Montuori is unable. Hotel liaison if France does not work out to succeed Steve. Steve undecided at this time about next year. Guest liaison Con Ops replacement for when Poryshkin needs to stop. Set aside table in dealer's room for auction to benefit Seedlings? Needs staffing and donations. Can we have it be unattended most of the time? Offer a benefit to a dealer to also mind the table? Have someone to run dealer's room that is not Sam. We will be back at the same hotel next year, but once again search for new options. Lord Baltimore has potential. Promote workshop fair to SCA folks. Rapier demo? Would need great care to keep hotel from freaking. Thanksgiving buffet timing needs to be better negotiated and clearly. No last minute time changes. Negotiate when atrium lights go dark. Get it in writing. Dim versus dark. Video Gaming: Relatively happening. Give up on "not mostly children" all day. Cannot parent all the children. Need to make parents clear on "not babysitting". Binder of information. How to set up consoles and games and such. Maybe teen helper geek. Charles? Secret challenge worked. Will it work next year? Calvin Smash amazing! But need prizes. Hotel issues: Treasurers report: $10,999.05 in accounts, well below last year. Three payments to hotel: deposit, one just before for function space, final payment for rooms. Two charges: original charge for function space/catering: $4143 Separate charge looks like they rebilled and added instead of subtracting $500. Should 3643, and does not include sleeping room charges (about $2200). Need itemized hotel bill for whole mess. Other expenses paid.
